Biophysics Retreat 

The UT Southwestern Department of Biophysics Annual Retreat brings together researchers, faculty, and students for two days of scientific sessions, poster presentations, team-building activities, and awards ceremonies. When the hotel’s recommended AV provider became unresponsive and uncooperative just weeks before their 2025 event, UT Southwestern reached out to Cadence Studios – the team that had successfully supported their retreat the previous year. This last-minute call perfectly illustrates why accessibility and responsiveness matter in event partnerships.

While not a large-scale production, this retreat required precision and attention to academic presentation needs. We provided projection systems for multiple presentation formats, a confidence monitor for speakers, comprehensive audio reinforcement, and most importantly, a dedicated in-room technician throughout the two-day program. Academic events demand seamless transitions between presenters, quick problem-solving for various file formats and presentation styles, and a tech team that understands the importance of uninterrupted scientific discourse.
